Guidelines and Key Dates for Oral and Poster Presenters

You will find below a summary of key information for oral and poster presenters regarding their participation in the upcoming CWW2025 conference. 

Please read carefully to ensure all requirements and deadlines are met.

Oral Presentations

Oral presentations must be delivered in person. Two types of oral presentations will be scheduled:

Each parallel or panel session will include 4 to 6 speakers, and about 3-minute Q&A period per speaker will be held collectively at the end of each session, not immediately after individual talks.

A standard (but simple) PowerPoint template will be provided for oral presentations. This template will be sent directly to each presenter. It will include a standardized title slide and a visual frame to be used on each slide.

Final presentations must be submitted in PDF format for review by August 4, 2025.
Send your presentation (in PDF format) by email to info@cww2025.org with the subject line: [CWW2025 – PRESENTATION ID XXwith the ID number (ID attached to your poster on ExOrdo).

Please ensure your slides are clear, accessible, and readable from distance (avoid overly dense text or complex visuals).
 Bring a backup of your presentation (on a USB stick, for example).

Important information for the 12 minutes oral presentation : for organizational reasons, the 12 minutes slot must include speaker change and all your presentation (incl. hello, thank yous, etc.). Therefore, we ask all presenters to plan for a 11-minutes long presentation at max. Please note that all parallel sessions moderators will be asked to stop each presentation after 11 minutes 30 seconds maximum with no exception and no possibility to extend it. This is to ensure equity between all presenters, and make sure parallel sessions will finish on time, while ensuring enough time for a dedicated Q&A moment at the end of each session.

 

Poster Presentations

Posters should be printed in A0 format. All posters must be in portrait orientation which means 84,1 cm (width) x 118,9 cm (height).
 There is no specific template, no poster ID, and no video recording required.

Each poster will be attributed a personal and unique number that will be attached on the poster panels, by the organizing committee, above each poster.

Poster authors are expected to stand by their posters during the poster sessions to discuss their work and answer questions. If a contributor has multiple posters, the organizing committee will do its best to regroup them for ease of presentation (this cannot be guaranteed though).

The main poster session will be held on Tuesday 9th September evening with a dedicated poster reception with a cocktail. All poster presenters are asked to attend that poster reception.

Posters will also be visible, on a dedicated room on Wednesday and Thursday. Poster presenters will be very welcome to stand by their poster during breaks
 

The final version of your poster (PDF format) must be submitted by August 4, 2025 for review by the organizing committee.

As a reminder : so has to facilitate travel conditions, the conference organizers are planning to print all posters on site before the conference, free of charge.

Please note no late change in poster will be possible. So we kindly request to receive all final version of your posters by August 4.

Final version of your abstracts

Please note that all accepted abstracts will be re-opened for a 5 weeks-long on ExOrdo, so that authors can make changes such as:

Please note that only minor changes are accepted. Significant changes could end up with the cancellation of your abstract acceptance.

All corresponding authors or accepted abstracts will be informed once rights for modification on ExOrdo are re-open.
